Organ:
The General Secretariat directs all the administrative and financial aspects of the Union's activities, including the implementation of the provisions of the administrative regulations on operational questions, the dissemination of information on telecommunication matters for operational and other purposes, the provision of legal advice to the Bureaux of the Union and the departments of the General Secretariat, logistic support to the Union's activities including conferences, the coordination of the work of the Union with other international organizations, the dissemination of information to the Member States and Sector Members, press, corporate and individual users of telecommunications and the general public. The General Secretariat is also responsible for the organization of world telecommunication exhibitions and forums.
Organization Unit:
The TELECOM Secretariat is responsible for the planning, organizing and executing of all ITU Telecom World Events. These events are major global information and communication technology (ICT) exhibitions and associated forums, and help keep ITU's Member States, Sector Members and other key players informed of the latest advances in ICTs. Through an exhibition for digital solutions, forum for sharing knowledge, and networking opportunities connecting nations, organisations and individuals, ITU Telecom World events provide a global platform for governments, corporates and small and medium enterprises to come together, power social and economic development, create collaborative opportunity and stimulate industry growth.
Main Tasks and Responsibilities of the Internship
Within the context of the organization of ITU Telecom World 2018, ITU is looking for a dynamic intern willing to join the Operations team. ITU Telecom World is a complex event involving many different technical aspects which include Audio-Visual, Exhibition build, Freight, IT equipment, Signage and more.

The role and responsibilities of the position include the following;

  • Work alongside and under supervision of the Event Technical Production Manager
  • Take part in the operations weekly meeting by taking minutes from each member of the team, including management, the exhibitions manager and technical production manager (and others closer to the time such as F&B manager and Freight)
  • Manage the production timeline to ensure all members of the Operations team are aligned and up to date with their delivery responsibilities
  • Work closely with other ITU Telecom teams for the coordination and exchange of information concerning the various aspects of the Operational team
  • Maintain the operations e-mail account, guiding production queries from other departments to the correct member of the Operational team
  • Attend management meetings where necessary alongside the supervisor
  • Create event running orders and calendars from the main event calendar
  • Work closely with supervisor on updating the Event Utilization Plan
  • Assist in designing floorplans with the Forum team with MS Visio
  • Coordinate with suppliers for event materials and collateral
  • Familiarize yourself with the in-house finance tool in order to create shopping carts from cost estimates received from suppliers
  • Competencies
    The ideal candidate should be highly organized, concerned with accuracy and quality of delivery, flexible, and able to maintain a positive attitude under pressure. Knowledge of Microsoft Word and Excel and the ability to quickly learn new software applications are required. The ideal candidate must have the ability to work well in a team and in a multicultural environment.
    Qualifications required
    Education:
    University degree. Degree in ICT-related studies will be valued during the selection process.
    Languages:
    Excellent knowledge of English in order to successfully work with the Operation Team and the wider department and our suppliers.
    Additional Information:
    Any experience working in events will be valued. Interest for the ICT sector will be valued during the selection process.

    Please note that a non-remunerated Internship position at ITU does not carry the same conditions of employment as a Short term or a Fixed term position. Mandatory Medical Insurance, travel expenses, accommodation and living expenses are the responsibility of the interns or sponsoring institutions.
